6. AI systems and automated processing

Our services may use AI systems to process messages, call transcripts and enquiry details. These systems may classify enquiries, extract structured information, create summaries or generate automated replies.

AI-generated results may be inaccurate, incomplete or misleading. Important reservations, event bookings, quotes, prices, availability and confirmations should always be reviewed and confirmed by the restaurant team.

We do not intentionally use personal data from customer conversations to train public AI models.

7. Phone assistants and call data

If you use an ExoroAI phone assistant (demo or live), call-related data may be processed. This may include phone numbers, call transcripts, call summaries, call duration, the caller's request and structured call information.

This data is used to handle enquiries, forward summaries to restaurant teams, improve service quality and resolve technical issues.

Where required, restaurants using a live phone assistant are responsible for informing callers that calls may be answered by an AI assistant and that call data may be processed.

8. Service providers and third-party tools

To provide our services, we may use third-party providers, including:

  • website hosting and website builder providers
  • scheduling tools such as Cal.com
  • payment service providers such as Stripe
  • email and productivity tools such as Google Workspace
  • automation platforms such as Make
  • AI model providers such as OpenAI, Anthropic or similar providers
  • voice AI platforms such as Retell AI or similar providers
  • reservation and restaurant software providers such as Foratable, where applicable
  • analytics, security or performance tools, where used

Depending on the specific service, these providers may process personal data on our behalf or as independent controllers.

9. International data transfers

Some service providers may process personal data outside Switzerland or the European Economic Area. Where required, we rely on appropriate safeguards such as adequacy decisions, standard contractual clauses or other legally recognised mechanisms.

10. Retention

We retain personal data only for as long as necessary for the purposes described in this policy, unless a longer statutory retention period applies.

Customer project data is generally retained for the duration of the business relationship and for up to 12 months thereafter, unless a different period has been agreed or is required by law.

Demo conversations, test call transcripts and call summaries may be retained for testing, support and improvement purposes, unless deletion is requested and there is no legal obligation to retain them.

We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or alteration. However, no internet transmission, cloud service or AI system can be guaranteed to be completely secure.

Depending on the applicable law, you may have the right to:

When we provide AI assistants to restaurants, we may process personal data of restaurant guests on behalf of the restaurant. In such cases, the restaurant is generally responsible for informing its guests about the processing of their data, unless agreed otherwise.

A separate data processing agreement may be required for customer projects.
